The keys are back with the landlord. The moving boxes are already in another city. The deposit is still “being checked”.

Imagine that Meera has followed up for three weeks. Each message receives a short reply, but no payment date. She now has a prepared demand notice and wants it sent properly, without travelling back to the apartment.

Once your security-deposit notice is ready, you can arrange printing and postal dispatch online, with optional e-signature and a booking record to keep. First check the amount, recipient address and supporting documents. A formal packet is useful only when it contains the correct version.

Meera is an illustrative example, not a Chitthiwale customer testimonial or a promised recovery outcome.

Settle the numbers before arranging dispatch

Start with the amount paid as a deposit. Compare it with any refund already received and the deductions you accept or dispute.

If the landlord claims repainting, repairs or unpaid bills, keep the messages and ask for the supporting details. Your notice should distinguish the facts you can show from the charges you disagree with.

The dispatch service should receive a finished amount, not a request to work it out. If you need advice on whether a deduction is lawful, settle that with your adviser before uploading the notice.

ItemIllustrative amountRecord to check
Deposit paid₹60,000Agreement and payment proof
Refund received₹20,000Bank credit
Unpaid balance claimed₹40,000Reconciliation and disputed deductions

These figures explain a calculation only. They are not a rule about deposit limits, allowable deductions or what a tenant will recover.

Keep the handover records close

Collect the agreement, deposit payment proof, rent records, move-out correspondence and key-handover acknowledgement. If you took photographs of the property's condition, retain the original files.

A message confirming that the keys were received can be easier to locate now than months later. Export or save important correspondence with enough context to identify the participants and dates.

Your advocate can decide what to attach. Do not include a complete identity-document file or unrelated bank transactions simply because they are available. The postal packet should contain what the final notice actually calls for.

Choose the landlord's address carefully

The apartment you rented is not automatically the landlord's current address. Check the address in the agreement, the service clause and the latest reliable correspondence.

Use the landlord's proper name, complete address and PIN code. If there are joint landlords or a property manager, ask who should receive the notice. A broker who arranged the tenancy is not necessarily authorised to accept a legal demand for the owner.

If your adviser recommends sending copies to more than one address, keep a separate booking record for each packet. Do not overwrite the first address when adding a second one.

Prepare the PDF that will actually be posted

Review the notice date, property address, deposit amount, payment request and response deadline. Make sure the annexures match the list in the document.

Avoid importing a random “security deposit refund legal notice format” and assuming that it suits every city. Bengaluru, Mumbai, Gurugram and Pune do not share one universal rental procedure. The agreement and applicable law need attention.

If the prepared notice requires your signature, choose a suitable method. If it is already signed by your advocate, confirm whether anything further is needed. E-signature is an optional document step, not a way to make every draft legally sufficient.

A clear demand starts with a clear file. Check the amount and recipient before arranging the post.
Illustrative workflow. No universal refund deadline, deposit cap or recovery outcome is promised.

Send the notice without making another trip

Upload the prepared PDF to Chitthiwale, enter the addresses and select the available signature option if needed. Review the order before paying, especially the page count and number of recipients.

Chitthiwale handles dispatch. The notice contents and your choice of demand stay with you and your adviser.

Check the expected postal booking date and the current charges. An online order is convenient when you have moved away, but the booking receipt is the record to save once the physical packet enters the post.

What to save after posting

Create one folder containing the approved PDF, address source, order confirmation and postal receipt. Add the saved tracking outcome and available proof of delivery when they appear.

If the landlord replies by phone, make a dated note of the conversation and ask for any settlement terms in writing. Record a partial refund accurately so the remaining balance does not become confused.

If the packet returns, preserve it and its markings. The returned-notice guide explains why “refused”, “unclaimed” and “addressee left” should not be treated as identical events.

A notice creates a record, not a guaranteed refund

The landlord may pay, propose deductions, dispute the demand or remain silent. Your next step depends on the agreement, evidence, local law and available forum.

Do not assume that every deposit dispute belongs in consumer court or that a particular interest rate applies automatically. Ask for advice that fits your arrangement.

Avoid sending repeated threatening versions through different channels. Keep communication consistent with the final notice and preserve any meaningful response. If payment arrives, confirm it before continuing a demand for the same amount.

Questions tenants ask

Can I send the notice after moving to another city

You can arrange dispatch remotely. Use accurate sender details and a return address arrangement you can manage.

Can Chitthiwale draft the deposit notice

Chitthiwale provides dispatch and optional e-signature. Upload the notice after you or your advocate have prepared it.

How many days should the notice give the landlord

There is no single response period suitable for every deposit dispute. Have the deadline checked against your agreement and circumstances.

Is the landlord's WhatsApp number enough for postal dispatch

No. You need a complete postal address. Keep any permitted electronic communication as a separate record.
